1. Document Objective
This framework outlines the mandatory reporting workflow following a critical building event (such as a fire alarm activation, severe pipe burst, or medical emergency). This ensures accurate documentation for insurance and legal protections.

2. Immediate Response Actions

  • Life Safety First: Contact emergency services immediately for any active fire, medical emergency, or ongoing safety threat.
  • Secure the Area: Evacuate or isolate the affected area to protect residents and prevent further property damage.
  • Notify Management: Trigger an immediate internal alert to the Property Manager and building owners via the staff communication channel.

3. Creating the Incident Record
All critical events must have a formal report completed in the dashboard within 24 hours of the occurrence.

  • Timeline of Events: Document the exact chronological order of the incident, including the discovery time, emergency response arrival, and resolution time.
  • Parties Involved: List names and unit numbers of all impacted residents, staff members on duty, and responding emergency personnel badge numbers.
  • Media Uploads: Attach clear photographs of any physical damage and scans of any local emergency services paperwork to the dashboard incident file.
