1. Document Objective
This guide establishes a standard, neutral protocol for staff to address and log complaints between residents regarding noise, disruptions, or unauthorized use of property common areas.
2. Step 1: Receiving and Verifying the Complaint
- Log Details: Immediately record the date, time, complaining party's unit number, and the specific nature of the disruption in the internal system.
- On-Site Verification: If a staff member is on duty, they must discreetly verify the disruption from the hallway or common space before knocking on the door.
- Evidence Collection: Note the decibel level or duration of the disturbance to ensure the report relies on objective facts rather than personal opinions.
3. Step 2: Resident Interventions
- First Contact: Knock politely and inform the resident of the building's quiet hours or community policies. Keep the tone conversational and professional.
- Identity Protection: Never reveal the identity of the neighbor who made the complaint to prevent retaliatory behavior or escalating the conflict.
- Second Warning: If the disruption continues after the initial conversation, issue a formal verbal warning and note that a written notice will follow if the issue is not resolved.
4. Step 3: Escalation and Dashboard Logging
- File the Incident: If the issue requires a second warning or management intervention, log it as an active "Nuisance Incident" in the portal.
- Notice Delivery: For repeat offenders, use the dashboard to generate an official lease violation notice to be emailed to the tenant and placed on file for management review.
